Join Our Team as an Administrative Assistant!
The Insurance Brokers Association of B.C. (IBABC) is seeking a friendly, organized, and proactive Administrative Assistant to support our daily operations, member services, communications, education and events teams. This role is ideal for someone who enjoys supporting many aspects of a busy association.
This is a full-time position with a set schedule in office (potential for 1 day hybrid).
About the Role
The Administrative Assistant is the first point of contact for members, students, visitors, and partners. You’ll keep the office running smoothly, support student exams, assist with shipping and receiving logistics, and help maintain a welcoming, well?organized environment.
Key Responsibilities
- Manage incoming calls and direct inquiries to the appropriate team
- Assist members with event registration and profile management
- Maintain office supplies and inventory
- Handle billing and payment inquiries
- Assist with accounts receivable tasks as needed
- Handle shipping and receiving; daily mail
- Provide general administrative support across departments
- Support events and meetings (set?up, materials, registration)
- Assist with board meeting preparation and administrative tasks
- Exam & Proctoring Support
- Serve as Fire Marshal & First Aid (training provided)
Other duties as assigned
- This role may require some travel within B.C.
Compensation
$40,000 - $50,000

Schedule and Location
- Monday to Friday, 8:30AM to 4:30PM
- In-office, set schedule in downtown Vancouver (potential for 1 day hybrid)
Ideal Candidate
- Warm, professional communicator
- Highly organized and detail?oriented
- Comfortable juggling multiple priorities
- Enjoys being the “go?to” person in an office
- Able to lift and move items (15–25 lbs)
- Tech?confident (Microsoft 365, database upkeep, scheduling tools, printers, shipping platforms)
- Written communication skills
- Enjoys off-site travel, events, and engaging with others
